MyCareerArc
Event Privacy Notice
This notice explains how MyCareerArc handles personal information for our events, including photos and short videos. It covers information we receive through registration, event communications, and participation. It applies to MyCareerArc events where this notice is provided and does not describe all data practices of our website or third-party platforms.
1. Information we collect
We may receive your name, email address, professional details, and other information you choose to provide through the registration form or messages to us. We may also record attendance and your photography preferences. With your permission, event photos and short videos may capture your appearance, voice, and remarks.
Please avoid including sensitive personal information in registration responses or recorded remarks.
2. How we use your information
We use registration and attendance information to manage the event, communicate logistics or changes, respond to questions, and send materials or a follow-up related to the event you registered for. We also use it to honor your privacy and photography choices. We will ask separately before subscribing you to ongoing promotional emails.
3. Photos, short videos, and your choices
With your permission, we may use photos and short videos featuring you to recap our events and promote MyCareerArc’s community and future events on our website and social media. Published content may be visible to anyone and may be shared by others. Participation is voluntary and unpaid.
Registration or attendance alone does not give us permission to publish identifiable photos or videos of you. We will ask for an affirmative choice through a separate consent form or at check-in. You may decline without affecting your ability to attend.
If you prefer not to be photographed or filmed, tell an organizer at check-in so we can communicate your preference to the photographer and arrange a place outside planned shots. We will take reasonable steps to keep you out of recordings and exclude incidental identifiable images of you from publication when you have not agreed.
Before recording an interview, testimonial, or identifiable spoken contribution, we will explain the intended use and ask for permission to record and share it. We will not intentionally record private conversations without the consent of everyone involved. We will ask separately before tagging your social profile, naming you in a caption, or using your image or voice in paid advertising.
4. Who may receive information
Access to nonpublic registration information is limited to organizers and service providers who need it to support the event, such as registration, email, storage, or photography providers. Photographers receive the information needed to honor your recording preferences. We do not sell your personal information or provide attendee contact lists to sponsors or other attendees for their own marketing. We may disclose information when required by law.
LinkedIn and any other platform you use process information under their own privacy policies. Content posted on social media is also subject to those platforms’ practices. See LinkedIn’s Privacy Policy.
5. Retention and security
We keep registration information only as long as reasonably needed to administer the event, handle related follow-up and requests, and meet applicable legal obligations. We review retained event media and delete unused material when it is no longer needed. Published media may remain available while relevant to the purposes described above, subject to your choices and applicable law. We may retain limited records of consent and opt-out requests to document and honor your preferences.
We use reasonable safeguards and limit access to personal information. No storage or transmission method can be guaranteed completely secure.
6. Requests and withdrawal of permission
You can contact us to request access to, correction of, or deletion of information we hold about you, or to withdraw permission for future use of your image or voice. We will respond as required by applicable law and may need to verify your identity.
For a photo or video request, please include the post link or a description that helps us locate it. After receiving your request, we will stop new uses and take reasonable steps to remove the material from channels we control. We cannot guarantee removal of copies, screenshots, or reposts made by others. Withdrawal does not undo uses already made with your permission.
7. Contact
For privacy questions, photography preferences, or removal requests, contact MyCareerArc at the.vidya.subramanian@gmail.com. You may also speak with an organizer at the event.
